DigiTribe runs online youth clubs – with 9 clubs each week and more in the pipeline and a growing team of youth workers and volunteers, they needed to organise session staffing, role-based information sharing for any access, communication sensory or other needs, personal support plans, staff resources and training library, and have an easy way to communicate open shifts or last minute shift cover requests,
Other CRM and staff or club management software didn’t do everything that was needed, was over complicated, needed a lot of set up and training, and expensive for a small non profit org.
DigiTribe connect brings all of this information together to help youth workers access the relevant information to support the sessions they lead. They have access to the most up to date policies and training materials. They see when any member has a birthday coming up so we can congratulate them. They can publish their availability for shifts, and managers can email out for shift cover to any selected members according to the availability they have given.
DigiTribe Connect brings relevant records together in a member-first workspace, helping staff spend less time searching across spreadsheets and more time focused on people.
Access is by invitation, and what each person can see depends on their role and permissions.
DigiTribe Connect brings details such as parent and carer and emergency contacts, consents, needs and adjustments, support plans, enrolments, and communications into a single, secure profile.
The workspace can also highlight details that may need follow-up, such as incomplete emergency contact information or overdue consent and support-plan reviews. Upcoming birthdays and hobbies and interests can help teams plan positive, personal conversations too.
Made for the work around each session
Staff can check the current sessions timetable, share their availability and view the session information available to them. Session Leads can be assigned access to Session Logs for specific sessions, supporting useful handovers without changing their wider workspace role permissions.
Communication and incident records help teams keep relevant context together. A shared resource library gives staff a place to find policies, handbooks and practical guidance when they need it.
Access with care
DigiTribe Connect is an invitation-only workspace with role-based controls. Administrators can manage team access and permissions, while access to certain records and session logs can be restricted. An audit history helps administrators review key activity and record changes.
